Why is an image not available to insert into my document?

If an image is not visible when inserting an image or page insert into a document, this is usually related to permissions or the location where the file was uploaded.

Images and designed pages must be uploaded to the Images library and stored in an image collection that the user has access to. Files uploaded through the Files tab are not available for insertion into documents.

No Access to the Image Collection

Images are only visible to users who have access to the image collection.

Check whether:

  • The image was uploaded to the correct collection
  • You have permission to use images from the collection
  • Your role in the collection allows image usage

Collection roles:

  • User — Use images in documents
  • Editor — Upload and manage images
  • Manager — Manage collection settings and permissions

If needed, contact the collection manager or your Tangelo administrator.

The File Was Uploaded Under Files Instead of Images

PDFs, images, or designed pages uploaded through the Files tab are not available in the image selector.

To use a file in a document:

  1. Upload the file to the Images library.
  2. Select the correct image collection.
  3. Insert the image or page insert from the editor.

The Wrong Image Type Was Selected

Some image types may only be available for specific use cases or templates.

Check whether:

  • The correct image type was selected during upload
  • The document template supports the selected image type

The Image Was Not Saved Correctly

If the upload process was interrupted or not saved correctly, the image may not be available yet.

Try:

  • Opening the image library
  • Verifying the image exists in the selected collection
  • Re-uploading or replacing the image if needed

Remarks

  • Files uploaded through the Files tab cannot be inserted into documents.
  • Designed pages and page inserts should always be uploaded through the Images library.
  • Deprecated workflows using PDFs from the Files tab are not supported for iXBRL outputs.
  • If the image still cannot be found after these checks, contact your Tangelo consultant or administrator.
