Introduction
Use this article when you want to create a new document based on an existing one, for example to start a document for a new reporting period. A roll forward copies the document structure, layout, and connections, reducing the amount of setup required for a new reporting period.
Summary
After following these steps, a new document is created based on an existing document. You can choose how user permissions and data sources are handled during the copy process.
Steps
- Open the document you want to roll forward.
- Click the hamburger menu in the top-right corner.
- Select Copy.
- Select whether to copy the document authorizations.
- Enable this option to carry over all user permissions from the original document. This is recommended in most cases.
- Choose how the data source should be handled.
- Keep using this data source: The new document uses the same data source as the original document. Note that updated the data source also affects other documents where this data source is used.
- Make copy of data source: Creates a new data source while preserving all table and field connections. This is the recommended option.
- Change to other data source: Links the document to an existing data source. Any mismatches are identified during synchronization.
- Disconnect: Removes all data source links. Existing table data remains editable but will no longer synchronize.
- Click the red + button to start the copy process.
- Wait for the new document to open automatically.
- Update the document description in the document properties.
- Update the document title in the root section.
If the document contains shared sections, roll forward the shared document separately. Open each shared section in the new document. Update the Share reference to point to the newly copied shared document.
Remarks
- When creating a copy of a data source, consider renaming it to match the new reporting period to keep data source history clear.
- The Copy option is only available to users with the required permissions. If you do not see this option, contact your local Tangelo manager.
