Introduction
Use this article when you need to add, edit, deactivate, or review user accounts in Tangelo. The User management screen is where administrators control who has access, which profile type each user holds, and how seats are counted against your license.
Summary
After following this article, you can add new users, manage individual accounts, deactivate users, and read your current license count.
Preconditions
Administrator access required
You need an administrator profile to open the User management screen. If you don't see this option, contact your administrator or key user.
Open User management
- Log in to Tangelo.
- Click the hamburger menu (≡) in the top right corner.
- Select User management from the dropdown.
The User management screen opens.
Add users
- Click the add button
on the right side of the screen. A popup appears.
- Enter one email address per line. To add multiple users at once, put each email on a separate line.
- Add group memberships (if any) and select a profile type for each user:
- Standard
- Reviewer
- Administrator
- Click the plus button to confirm.
Expected result
The users are added to Tangelo and an activation email is sent to each one. Until a user activates their account through the email link, a clock icon appears behind their name in the user list.
Two-factor authentication (2FA)
The Tangelo Support Desk activates 2FA for each new account and sends a separate 2FA activation email with instructions. This step is manual and is only performed during business hours.
Manage a single user
Click a user to open their details in the centre of the screen, including audit log information.
From here you can:
- Set the user's status to active or inactive.
- Change their name or email address.
- Add or remove group memberships.
- See the number of available seats in the license.
Add a real name
When you create a user you can only enter an email address. Use the single-user view to add the user's real name afterwards.
Deactivate a user
Tangelo does not permanently delete user accounts for audit reasons. Deactivate them instead.
- Select the user's profile.
- Click the checkmark next to their name to deactivate the account.
Affects available seats
Deactivating a user directly changes the number of available seats in your total license.
Check license count
Your license count is based on active accounts:
- Standard and Administrator profiles count toward one license contract.
- Reviewer profiles count toward a separate license contract.
To determine your license count, add active profiles to available seats:
| Profile type | How it's counted |
|---|---|
| Standard and Administrator | Active Standard (11) + Active Administrator (4) + available seats (87) = 102 license seats. |
| Reviewer | Active Reviewer profiles (2) + available seats (97) = 99 license seats. |
