Introduction

Use this article to grant or remove access to a document or a specific document section for a user or group. For access to work, document privileges and the user's account profile must align - this article covers both.

Preconditions

Manager privilege required
You need the manager privilege on the document to assign or remove privileges.


Set basic privileges

  1. Navigate to your target document.
  2. Select where you want to apply privileges:

    • For full document access, click the document root.
    • For specific section access, click that section.

  3. Open the Privileges tab on the right side.
  4. Add access: type the user or group name, then click + to grant access.
  5. To remove access, click the - button.

Account profiles and document access

Privileges and profile must align
Both document-specific privileges and account profile settings must support each other for access to work. A privilege that doesn't fit the user's profile will not be effective.

Profile levels:

ReviewerLimited to review functions only.

AdministratorFull system control, including user/group management, document types, collections, and data sources.

Account profile settings

Your account profile must match your document privileges. For example:

  • Reviewers need both a reviewer profile and document reviewer privileges.
  • Standard users need both a standard profile and appropriate document privileges.
  • Administrators need both an admin profile and document privileges.

Switching to a lower profile
If you change a user to a lower profile level, any higher-level privileges previously granted become inactive. For instance, a user with editor access to a document but whose profile is set to Reviewer can no longer edit it until their profile is changed to Standard or Administrator.
